REPORTS TO: Executive Team

AGENCY MISSION: to provide intervention and advocacy for children who are victims of, or witnesses to, crime.

AGENCY VISION: to reduce the trauma experienced by child victims of abuse and their non-offending family members through multidisciplinary intervention, advocacy, support and strong community partnerships.

SALARY & BENEFITS: Salary and benefits will be discussed at time of interview. Starting hourly rate from $16.83-$21.63 ($35,000- $45,000), depending on experience. POSITION OVERVIEW: The Kids FIRST Office Manager is responsible for ensuring a warm, professional reception for families, community partners, and other visitors to the center. Scheduling, data entry, and other clerical duties are secondary priorities of this position.

Responsibilities include, but are not limited to, the following:

Maintain Building Condition
•Coordination of necessary monitoring and repairs; liaise with facility management vendors, including cleaning, catering and security services;
•Inventory and procurement of necessary office items, etc.;
•Daily trash and recycling management;

Data and Office Management
•Set up and maintain records and complex files;
•Perform data entry using program databases, medical billing databases, and spreadsheets;
•Assemble and compile data; prepare statistical reports as needed;
•Maintain KF Policy and Procedure Manuals, ensuring regular review of policies and procedures for accuracy and compliance;
•Manage travel and training procurement;
•Provide administrative support to the Executive Team;

Service Coordination
•Serve as grand jury bailiff, preparing the room for the proceeding, welcoming jurors and accepting subpoenaed witnesses;
•Process subpoenas as needed, includes logging, documenting, calendaring, communicating about and tracking subpoenas;
•Ensure policies and procedures are followed and appropriate court orders are obtained prior to release of records as needed;
•Communicate in a compassionate, unbiased, trauma-informed manner; work within a Multidisciplinary Team comprised of representatives from Law Enforcement, the District Attorney’s office, Department of Human Services, and other partner agencies who work to collaboratively manage and prevent cases of child maltreatment;
•Schedule forensic interview appointments with law enforcement and DHS child welfare personnel;

MINIMUM QUALIFICATIONS: Associates Degree or equivalent work experience required. Bilingual/bicultural applicants are encouraged to apply.

Knowledge of:
•Modern office procedures, methods, and computer programs/equipment
•Elements of correct English usage, spelling, grammar, punctuation, and vocabulary
•Medical billing/coding procedures and familiarity with HIPAA, advantageous, but not required
•Receptionist and telephone techniques
•Problems confronting victims of crime
•Short-term crisis intervention techniques

Ability to:
•Perform a wide variety of responsible secretarial, clerical, typing, and office support functions
•Learn and apply specific rules, policies and procedures
•Prepare correspondence and reports from general instructions or marginal notes
•Establish and maintain effective working relationships with those contacted in the course of work
•Communicate clearly and concisely, both orally and in writing
•Type at a net speed of 45 words per minute
•Effectively plan and prioritize work
•Maintain confidentiality
•Communicate effectively with a population that has experienced trauma
•Pass a thorough criminal and child welfare history check
