The Shop Administrative Assistant acts primarily as administrative support for the Shipping and QC Department ensuring accuracy of documentation for each shipment and other administrative needs. The position will also perform Material Handler responsibilities in the Shipping Yard.
Key Administrative Responsibilities:
Provides various data entry and updates into the company network. Such updates include scanning documents into the correct job files, uploading pictures and documents, etc.
Provides various data entry and updates into the company’s ERP system, Syteline. Such updates include verifying that equipment and parts have been received, recording pick ticket transactions and scanning into file, etc.
Provides data entry into scheduling tool to ensure that all kits are complete.
Generates BOL shipping documents and records data into master packers file.
Conducts inventory counts and tracking. Communicates with Inventory Clerk when material issues arise.
Key Material Handler Responsibilities:
Unload vendor trucks, verify receipts, and inspect material quality. Examine contents and compare with records to certify accuracy of incoming shipment.
Distribute materials to proper warehouse locations in a First-in First-out (FIFO) method.
Build custom wood shipping pallets and crates for finished goods.
Kit materials for distribution to the shop and other manufacturing facilities.
Kit finished goods to ship to customers.
Ensure inventory and work in process materials are organized in facility and storage yard. Perform cycle counts for inventory group.
Operate forklift as needed.
High school diploma or GED equivalent.
Previous experience in an administrative role supporting a shipping function.
Previous experience working within an ERP system a plus.
Excellent attention to detail, communication, and organizational skills.
Proficient in MS Office software.
Must be able to lift 50 pounds
